Meeting Recording and AI Summary Information

This meeting is recorded, transcribed and summarised using AI. This page explains why, what data is processed, and how it is handled.

1 Why we record meetings

We record and transcribe meetings to automatically generate summaries, action items and follow-up notes. This reduces manual note-taking so everyone can focus on the conversation.

2 What data is processed

  • Audio from meeting participants.
  • Automatically generated transcripts of that audio.
  • AI-generated summaries and action items.

3 Legal basis

We rely on our legitimate interest in accurate meeting documentation and efficient collaboration (GDPR Article 6(1)(f)).

4 AI providers & data location

Turning a recording into notes involves two providers. First, the audio is transcribed into text on Modal, with all processing taking place in the EU.

The transcript is then sent to Anthropic (Claude), which generates the summary. Anthropic processes it in the United States under appropriate safeguards — a Data Processing Agreement and EU Standard Contractual Clauses.

5 Who can access the summaries

The summary is shared only with the meeting's participants and used internally at Humane ApS. We store it in our internal knowledge base (an Obsidian vault) and can send a participant their summary on request.

We never sell summaries or share them with third parties for their own purposes. Aside from the two providers described above, no external service has access to the audio or transcript.

6 Data retention

  • Audio recordings are deleted within 24 hours.
  • Full transcripts are deleted within 24 hours.
  • Summaries may be kept as part of the meeting record.

7 AI model training

Your recordings and transcripts are not used to train AI models.

8 Your rights and choices

Because we process this data under our legitimate interest, you have the right to object to the processing. You also have the right to:

  • access the personal data we hold about you;
  • request correction of inaccurate data;
  • request erasure of your data;
  • request restriction of the processing.

In addition, for any individual meeting you can:

  • ask the meeting organiser to stop the recording;
  • raise any concerns about the recording with the organiser.

To exercise any of these, contact us at privacy@humane.dk. You also have the right to lodge a complaint with the Danish Data Protection Agency (Datatilsynet).
